How to Automatically Convert Phone Recordings into Customer Profiles

During the sales process, a great deal of critical information is communicated over the phone — verbal commitments, tentative intentions, pricing discussions. This information is often even easier to miss than WeChat text messages. Tuji supports importing call recordings, automatically transcribing them, and generating structured profiles.

Step 1: Obtain the Call Recording

The method for obtaining call recordings varies by phone:

  • iPhone users: iOS does not provide built-in call recording. You can use a conference call app (such as a call recording app) or enable speakerphone and record with another device.
  • Android users: Some phone brands (Huawei, Xiaomi, etc.) have built-in call recording. Simply tap the record button on the call screen.
  • Landline / enterprise phones: Contact your administrator to enable call recording and obtain the audio files.

Step 2: Import into Tuji

In the Tuji client, click "Collect" → "Call Recording" and import audio files in m4a, mp3, wav, or other formats. Multiple recordings can be imported at once.

Step 3: AI Auto-Transcription and Information Extraction

After the recording is uploaded, AI automatically performs speech-to-text (ASR), then extracts key information from the transcript:

  • Identities of both parties on the call
  • Customer needs and areas of focus
  • Concerns and objections raised by the customer
  • Verbal agreements reached by both parties
  • Next-step action plans

Step 4: Link to Customer Profile

After confirming the information, select "Link to Existing Customer" or "Create New Customer Profile." The recording and text summary will both be stored under that customer's profile. Whenever you open the profile later, you'll see the complete record of all phone communications.

A Real Transformation

Before, you'd finish a call and forget everything. Then during the next follow-up, the customer would ask, "Have you thought about that proposal we discussed last time?" and you'd be stuck. Now, after every call you import it into Tuji in 10 seconds, and three months later you can still accurately recall the customer's tone, their concerns, and what you promised.
